1. Objective and Application
This policy outlines how Blue Level Group LLC ("the Company") utilizes Artificial Intelligence (AI) to optimize our workflow, enhance client deliverables, and manage internal knowledge. This policy applies to all internal operations and any external contributors, including contractors and consultants. While primarily an internal document, this policy serves as a statement of our commitment to transparency, ethical usage, and data accountability for our clients.

2. Core Philosophies
Our integration of AI is governed by these primary values:
  • Human-Centric Expertise: AI is a collaborator, not a replacement. Professional judgment always takes precedence.
  • Quality & Precision: AI tools must provide a measurable improvement in the speed, accuracy, or impact of our work.
  • Integrity & Trust: We maintain full transparency with clients regarding our data practices and AI involvement.
  • Mandatory Human Oversight: No AI-generated content or data analysis is delivered to a client without a comprehensive human review.

3. Approved Applications
We encourage the use of AI for the following tasks:
  • Content Generation: Drafting outlines, blog posts, social media copy, and email templates (subject to manual editing).
  • Creative Ideation: Brainstorming ad concepts and visual templates.
  • Analytical Research: Summarizing long-form data, SEO audits, and market trend analysis.
  • Operational Efficiency: Generating meeting minutes, organizing schedules, and analyzing campaign metrics.
  • Strategic Planning: Analyzing target accounts and personalizing outreach.
  • Internal Experimentation: Testing new graphic or video tools for internal use before applying them to client projects.
Any use case not listed above should be cleared by the Company Principal.

4. Restricted & Controlled Activities
To protect our intellectual property and client confidentiality, the following rules apply:
  • Data Scrubbing: All client-identifiable information (PII) must be removed before being entered into public AI prompts.
  • Confidentiality: No sensitive materials (contracts, unreleased strategies, or proprietary brand assets) may be uploaded to AI tools without explicit authorization.
  • Legal & Compliance: AI must not be the sole author of legal documents, contracts, or regulatory filings.

5. Tool Management & Access
The Company utilizes a secured Google Gemini environment as its primary generative AI platform. Additionally, we leverage the following specialized AI tools:
  • HubSpot Breeze: CRM intelligence, automated sales activities, and marketing optimization.
  • Gamma.app: Creation of AI-enhanced presentations, briefs, and visual layouts.
  • Notion: Centralized knowledge management and AI-assisted project organization.
  • Granola: AI-enhanced meeting transcription and strategic note-taking.
Usage Protocols:
  1. Approved Tools Only: Only platforms with verified data-privacy protections (like the ones listed above) are permitted for business use.
  1. Onboarding: Contractors and consultants are granted access to these internal systems only after executing our standard non-disclosure and service agreements.
  1. Data Siloing: Sensitive client data residing in HubSpot Breeze must be managed according to existing CRM security protocols to ensure AI features do not inadvertently expose confidential information.

6. Proprietary Knowledge Base
We maintain a secure, centralized repository for AI-ready data.
  • Data Hygiene: Only anonymized and de-identified assets are stored for AI training or internal GPT reference.
  • Authorization: The Company Principal must approve all data sets used for internal model training.
  • Retention: Content is audited periodically to ensure outdated or non-compliant information is purged.

7. Privacy Standards
While the Company does not typically handle PHI (Protected Health Information), we maintain high data standards:
  • Anonymization: We use placeholders (e.g., "Client-Alpha") during tool testing to ensure no real client data is exposed in AI environments.
  • Compliance: All AI-driven communications must adhere to CAN-SPAM and relevant data protection laws applicable to our operations.

8. Supervision & Governance
The Company Principal oversees all AI adoption and risk management. This includes:
  1. Approving New Software: All new AI tools and platforms must receive explicit approval before use.
  1. Evaluating Usage Patterns: Ongoing review of usage patterns to identify and mitigate security risks.
  1. Client Inquiries: Addressing all client inquiries regarding AI usage and data handling practices.

9. Human Validation & Client Disclosure
  • The "Human-in-the-Loop" Rule: Every client-facing deliverable must be vetted by a human to ensure accuracy and brand alignment.
  • Transparency: Disclosure to clients is required if AI significantly shapes the core strategy or creative output (e.g., AI-generated logos or primary ad copy). Routine operational use does not require disclosure.
  • Plagiarism Checks: Public-facing content must undergo originality screening to prevent inadvertent infringement.

10. Intellectual Property (IP)
  • Ownership: Blue Level Group LLC retains full ownership of all AI-assisted deliverables created for client engagements, as per our standard contracts.
  • Internal Tools: Prompts, Gems, and GPTs developed during billable hours are company property.
  • Contractor Exceptions: If a contractor uses a tool they developed on their own time/expense, they retain ownership but must notify the Company Principal in writing to avoid future disputes.

11. Ethical Boundaries
The following actions are strictly prohibited under this policy:
  • Deepfakes: Creating deepfakes or misleading synthetic media of any kind is forbidden.
  • Impersonation: Deceptively mimicking a client's or individual's voice or likeness is strictly prohibited.
  • Data Manipulation: Using AI to falsify reports or metrics is a serious violation of this policy.

12. Mitigating Bias
We recognize that AI can mirror societal biases. All team members and contractors are expected to:
  • Review AI outputs for inclusivity and cultural sensitivity before use in any deliverable.
  • Flag any recurring biased patterns for immediate review by the Company Principal.

13. Incident Response
If an AI tool produces harmful, inaccurate, or biased content, the following steps must be taken immediately:
  1. Cease Usage: Stop using that specific prompt or tool immediately upon identifying the issue.
  1. Document: Record the full input and output for review and accountability purposes.
  1. Implement Safeguards: Adjust settings or implement safeguards to prevent a repeat occurrence before resuming use.
